Job Description:

Our company is seeking a detail-oriented and organized Office Administrator to join our team in Toronto, Ontario. The ideal candidate will be responsible for providing administrative support to ensure efficient operation of the office. The Office Administrator will support managers and employees through a variety of tasks related to organization and communication. The administrator will communicate via phone and email, ensuring that all administrative duties are completed accurately and delivered with high quality and in a timely manner.

Responsibilities:

– Answer and direct phone calls
– Organize and schedule appointments
– Plan meetings and take detailed minutes
– Write and distribute email correspondence memos, letters, faxes, and forms
– Assist in the preparation of regularly scheduled reports
– Develop and maintain a filing system
– Update and maintain office policies and procedures
– Order office supplies and research new deals and suppliers
– Maintain contact lists
– Book travel arrangements
– Submit and reconcile expense reports
– Provide general support to visitors
– Act as the point of contact for internal and external clients
– Liaise with executive and senior administrative assistants to handle requests and queries from senior managers

Requirements:

– Proven experience as an office administrator, office assistant, or relevant role
– Outstanding communication and interpersonal abilities
– Excellent organizational skills
– Familiarity with office management procedures and basic accounting principles
– Excellent knowledge of MS Office and office management software (ERP etc.)
– Qualifications in secretarial studies will be an advantage
