Job Description
Executive Assistant
Location: Toronto, ON
Salary: $55,000 – $65,000 + benefits
We are looking for a skilled Executive Assistant to provide high-level administrative support to the CEO and senior management team. The ideal candidate will be experienced in handling a wide range of administrative and executive support-related tasks and will be able to work independently with little or no supervision. This person must be exceedingly well-organized, flexible, and enjoy the administrative challenges of supporting a rapidly growing organization.
Responsibilities:
– Coordinate and manage the CEO’s schedule, including arranging meetings, travel, and appointments
– Act as the point of contact between the CEO and internal/external clients
– Screen and direct phone calls and distribute correspondence
– Organize and maintain the CEO’s office and files
– Provide general support to visitors
– Handle requests and queries appropriately
– Develop and maintain a filing system
– Follow up on action items to ensure deadlines are met
– Make travel and accommodation arrangements
– Prepare financial and statistical reports
– Typically support to other executives and teams as needed
– Write and distribute email, correspondence memos, letters, faxes, and forms
– Assist in the preparation of regularly scheduled reports
– Develop and maintain a filing system
– Act as the point of contact between the CEO and internal/external clients
– Answer and direct phone calls
– Maintain and update the company database
– Support budgeting and bookkeeping procedures
– Submit and reconcile expense reports
– Support the CEO in a regular 8-hour workday
– Work schedule is flexible when needed
Qualifications:
– Proven experience as an executive assistant or other relevant administrative support experience
– Proficient in MS Office and GSuite
– In-depth understanding of entire MS Office suite
– Excellent customer service skills
– Excellent organizational and multitasking skills
– Sensitivity and discretion in handling confidential information
– Strong communication skills
– Strong problem-solving skills
– Able to prioritize workload effectively
– Proactive approach to problem-solving
– Ability to work effectively under pressure and to tight deadlines
