Job description:
We are looking for a detail-oriented Administrative Assistant to join our team. The ideal candidate will be responsible for providing administrative support to ensure efficient operation of the office. This individual will support managers and employees through a variety of tasks related to organization and communication. The Administrative Assistant will communicate via phone and email ensuring that all administrative assistant duties are completed accurately and delivered with high quality and in a timely manner.
Responsibilities:
– Answer and direct phone calls
– Organize and schedule meetings and appointments
– Maintain contact lists
– Produce and distribute correspondence memos, letters, faxes and forms
– Assist in the preparation of regularly scheduled reports
– Develop and maintain a filing system
– Update and maintain office policies and procedures
– Order office supplies and research new deals and suppliers
– Maintain contact lists
– Book travel arrangements
– Submit and reconcile expense reports
– Provide general support to visitors
– Act as the point of contact for internal and external clients
– Handle requests and queries appropriately
– Participate in the preparation and execution of company events
– Provide administrative support for sales and marketing departments
– Other duties as assigned
Qualifications:
– Proven admin or assistant experience
– Knowledge of office management systems and procedures
– Excellent time management skills and ability to prioritize work
– Attention to detail and problem solving skills
– Excellent written and verbal communication skills
– Strong organizational and planning skills
– Proficient in MS Office applications
– High school diploma or equivalent; college degree preferred
