We offer a flexible work environment and support a sustainable life/work balance.General Purpose of This Position:Reporting to the Manager of Estimating and working in conjunction with the Senior Technical Proposal Writer, Operations, Engineering and Administration groups, the Technical Proposal Coordinator will coordinate the preparation of proposals issued by the Estimating Department.Essential Duties and Responsibilities:Health and Safety

  • Works in compliance with all Health and Safety rules and regulations for Cementation.
  • Incorporates Health and Safety considerations in all functions and daily activities of the position.
  • Monitors work environment for health and safety hazards or infractions and reports the same to Health and Safety Department.

General Duties and Responsibilities:

  • Coordinate proposal kick-off meetings as well as schedule and facilitate ongoing proposal coordination meetings.
  • Coordinate and insert technical content, update/customize resumes, personnel bios, project descriptions, and other proposal information.
  • Assist with managing, monitoring, and maintaining the proposal database, files, and systems through appropriate information management systems.
  • Communicate with proposal participants to track tasks against the schedule to ensure internal proposal deadlines are being met.
  • Coordinate proposal preparation including compositions, editing, proof reading, assembly and packaging.
  • Follow directions as specified in the Request for Proposal (RFP) and ensure compliance with the RFP.
  • Support the Estimating Department, specifically the Senior Technical Writer and coordinate work between Operations, Engineering and Administration.
  • Prepare statements of qualifications, project descriptions, and resumes.
  • Prepare, input and format letters, reports, proposals, spreadsheets, and other documentation including:
  • Drafting executive summaries.
  • Integrating proposal sections written by multiple authors.
  • Determining whether proposal sections are responsive.
  • Reviewing proposals and other documents for grammatical and syntax errors.
  • Oversee the production of proposals and ensure their timely delivery.
  • Assist proposal development by updating and listing current and future opportunities in the format of monthly, quarterly and annual forecasts.
  • Coordinate the retrieval and delivery of all electronic tender submissions and the distribution of all associated notices and documentation.
  • Provide clerical and administrative support to the Operations/ Estimating Teams.
  • Other duties as assigned.

Travel Requirements:

  • This position would not normally have the requirement to travel.

Education and Experience:

  • University degree in Business, Communications, Marketing, or equivalent experience.
  • Two years of proposal development experience, including at least one year of experience as a Proposal Coordinator.
  • Experience in the mining industry is considered an asset.
  • Experience with Project Management software is considered an asset.

  • Strong writing skills with the ability to edit and proofread documents for grammar and clarity.

  • Able to demonstrate discretion and judgement relating to highly confidential information.
  • Strong work ethic and positive team attitude.
  • Strong problem solving and critical thinking skills.
  • Strong knowledge of Microsoft Office products, including Word, Excel, Outlook, PowerPoint, Visio and MS Project.
  • Experience in using online platforms and databases considered an asset.

Education and Experience:
