Job description: Job Description:The Coordinator, Event Services, will join a dynamic, diversified and talented team of event experts. This role’s primary responsibility will be supporting and implementing the Foundation’s Event Services portfolio, including in-person, digital, and hybrid donor, board, community and signature events. This position works closely and collaboratively with stakeholders across the organization in the rollout of effective and sustainable events to support the achievement of financial targets vital to St. Michael’s Hospital and Providence Healthcare.RESPONSIBILITIES & ACTIVITIESRESPONSIBILITY – Event ServicesActivities:· Support the event services team (Associate Director, Senior Development Officers) in the development and project management of the portfolio’s strategies, measurable goals, and objectives to maximize revenue to the Foundation.· Support donor recognition, stewardship, cultivation, community and fundraising events from concept to completion, ensuring they operate smoothly and efficiently and generate maximum revenue potential and exposure.· Support logistical details associated with the planning and executing successful events, including formulating and monitoring the budget, developing and overseeing critical paths, catering, logistics and vendor relationships.· Collaborate with the Sponsorship, Major Gifts, Donor Relations, and Community teams to ensure the satisfaction of sponsors and volunteers, fostering strong partnerships to enhance the overall success of Foundation events.· Monitor comprehensive reports, including events budgets, metrics, and financial statements for expense activities related to the Events Services portfolio.· Collaborate with the communications team to develop event materials, including invitations, marketing materials and impact reports.· Manage and track RSVPs for multiple events, ensuring timely follow-ups, courteous communication, and meticulous organization of dietary restrictions and special requests.· Liaise with vendors and suppliers and coordinate contracts and invoicing.· Provide on-site support and problem-solving at events to ensure smooth execution and be responsible for interaction with the audience to field questions and handle complaints.· Ensure timely, consistent, and accurate coding of donor records in Raiser’s Edge.RESPONSIBILITY – OtherActivities:· Work as a team player to promote a positive and professional work environment and conduct oneself with integrity and respect.· Provide support to the Events Services team and provide event support to other Foundation teams.· Act as an ambassador throughout the community to represent the hospital and the Foundation positively.· Abide by the policies and procedures of Unity Health Toronto and St. Michael’s and Providence Foundation.· Abide by the Occupational Health and Safety Act and work safely, reporting incidents immediately to the direct supervisor.· Perform other duties as assigned to meet the overall goals and objectives of the Foundation.· Operate within the culture and core values of the organization.KNOWLEDGE & SKILLS· A university/college degree or relevant work experience.· 2-4 years of progressive experience working in event services, preferably in a large, dynamic, not-for-profit environment.· Strong knowledge of the event industry and trends.· Experience with special events, including board, donor, and fundraising events.· Demonstrated excellent communication skills (verbal and written).· Excellent interpersonal skills and very strong person-to-person relationship-building skills.· Excellent organizational skills and demonstrated ability to prioritize multiple and changing demands.· Proven ability to exercise diplomacy and good judgment.· Exemplary attention to detail with excellent planning, organizational and time management skills.· Ability to work independently using an above-average level of initiative.· Ability to work as a collaborative member of a fundraising team.· Proficient in the use of all corporate productivity tools, including Excel, Word, PowerPoint, search engines as well as Raiser’s Edge or other donor database management systems.· Ability to maintain confidentiality.· Demonstrated commitment to and understanding of the mission and values of St. Michael’s Hospital, Providence and Unity Health Toronto.· Willingness to work flexible hours, including some evenings and weekends.Unity Health Toronto is committed to creating an accessible and inclusive organization.
