Position: Administrative Assistant
Job Description:
We are looking for a competent Administrative Assistant to help with the organization and running of the daily administrative operations of the company. The ideal candidate will be a hard-working professional able to undertake a variety of office support tasks and work diligently under pressure. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results.
Responsibilities:
– Assist in managing workload where necessary, including scheduling, planning meetings, taking notes, and preparing reports
– Communicate with clients, colleagues, and employees, and take care of incoming inquiries
– Perform general clerical duties and assist in organizing the office layout and maintaining supplies of stationery and equipment
– Coordinate office activities and operations to secure efficiency and compliance to company policies
– Supervise administrative staff and divide responsibilities to ensure performance
– Manage agendas/travel arrangements/appointments and other office requirements
– Manage phone calls and correspondence (e-mail, letters, packages etc.)
– Provide front desk reception duties
– Assist in providing additional ad-hoc support to the team as needed
Requirements:
– Proven experience as an administrative assistant or office administration assistant
– Knowledge of office management systems and procedures
– Excellent time management skills and ability to multi-task and prioritize work
– Attention to detail and problem-solving skills
– Excellent written and verbal communication skills
– Strong organizational skills with the ability to perform well under pressure
– High school diploma; additional qualification as an Administrative assistant or Secretary will be a plus
