Job Description:
We are seeking a skilled and experienced Administrative Assistant to join our team. As an Administrative Assistant, you will be responsible for providing administrative support to ensure efficient operation of the office. Your duties will include answering and directing phone calls, organizing and scheduling appointments, managing correspondence, and performing other administrative tasks as needed. The ideal candidate will be highly organized, detail-oriented, and possess excellent communication skills. If you are a proactive individual with a can-do attitude, we would love to hear from you.
Responsibilities:
– Answer and direct phone calls
– Organize and schedule appointments
– Plan meetings and take detailed minutes
– Write and distribute email, correspondence memos, letters, faxes, and forms
– Assist in the preparation of regularly scheduled reports
– Develop and maintain a filing system
– Update and maintain office policies and procedures
– Order office supplies and research new deals and suppliers
– Maintain contact lists
– Book travel arrangements
– Submit and reconcile expense reports
– Provide general support to visitors
– Act as the point of contact for internal and external clients
Qualifications:
– Proven experience as an administrative assistant or office admin assistant
– Knowledge of office management systems and procedures
– Excellent time management skills and ability to multi-task and prioritize work
– Attention to detail and problem-solving skills
– Excellent written and verbal communication skills
– Strong organizational and planning skills
– Proficient in MS Office
– High school diploma or equivalent; college degree preferred
