Elite Digital houses over 80 employees and is expanding once again! As a result, we are looking for an experienced, multi-skilled Project Coordinator, who will thrive in a multifaceted, fast-paced, and team-oriented environment. This is a perfect role for a Digital Marketing savvy, versatile team player who wants to make their mark and be a key contributor to success and scalability in this growing digital marketing agency.


JOB SUMMARY

The Project Coordinator will be accountable for helping to coordinate the execution of print/digital marketing projects and a variety of tasks that contribute to the efficient and effective operations of the PMO department. The Project Coordinator will work closely with project managers, development and design teams as well as liaise with internal teams as it relates to assigned project or task.


MAJOR RESPONSIBILITIES

  • Ensures timely reporting & dashboard updates
  • Coordination of the project intake and prioritization process
  • Maintain the lessons learned repository
  • Analyzing and appraising current practices: Proactively informs/initiates/recommends new processes and procedures in order to increase efficiencies and effectiveness in achieving project portfolio deliverables
  • Maintain a proactive role in consulting with the user community and bringing together the necessary resources to deliver on PMO project dashboard reporting
  • Provide stakeholder updates
  • Maintaining technical currency and knowledge of emerging technologies
  • Maintain and update project templates
  • Create and maintain project documentation
  • Assist in the definition of project scope and objectives, involving all relevant stakeholders and ensuring technical feasibility
  • Develop summarized project plans and status reports to be shared with clients as well as other staff members
  • Clarify specific requirements of each project
  • Create test plans and ensure quality assurance (QA) procedures are implemented; engaging in and/or managing alpha/beta testing for digital projects
  • Manage changes to the project scope, project schedule and project costs using appropriate verification techniques
  • Measure project performance using appropriate tools and techniques
  • Seek opportunities for improvement
  • Report and escalate to management as needed
  • Perform risk management to minimize project risks
  • Track project performance, specifically to analyze the successful completion of goals
  • Use and continually develop leadership skills
  • Perform other related duties as assigned


Requirements:

  • Working experience in project coordination, office administration, information systems or business administration
  • Experience planning, coordinating and tracking projects
  • Excellent written and verbal communication skills
  • Detail-orientated and the ability to prioritize and meet deadlines
  • Solid organizational skills including attention to detail and multitasking skills
  • Project Management Professional (PMP)/CAPM certification is an asset (not mandatory)
  • 3 year Diploma or Degree in appropriate field of study or equivalent work experience


EXPERIENCE, TECHNICAL SKILLS and KEY COMPETENCIES

  • Nice to have 1 year of experience in Digital Marketing, Social Media, CRM, Branding, Content Marketing
  • Must have prior experience working with developers
  • Must have strong time management, organizational and analytical skills
  • Ability to work in a multi-functional team environment with rapidly changing priorities
  • Familiarity with project management tools such as ClickUp and Harvest (an asset)
  • Prior experience working with a project management tool to build projects and assigning tasks
  • Intermediate knowledge of MS Excel and PowerPoint, Google Suite, etc.
  • Must be familiar with Zoom, Google Meets and/or other conference meeting tools
  • Keen attention to detail on all project deliverables reducing errors and redundancies

COVID-19 Response

At Elite Digital Inc, safety is our top priority and all decisions this year have been made strictly from a health and safety perspective. Since March, 2020, we have been practicing all of the proper steps to “flatten the curve” and keep ourselves and our society safe. Based on this ability to succeed, Elite will continue to work from home until we feel it’s the right time for our organization and our employees to return.

Plans for the future include:

o Our “new normal” will include a hybrid of working from the office, and remotely.

o There will be a gradual and voluntary return to the office that includes the employee’s feedback, ensuring their comfort in the transition. We are not mandating any return at this point.
