The Administrative Coordinator for Global Digital Marketing reports directly to the Managing Director of Global Digital Marketing but also supports the Managing Directors for Tax and Legal and Clients and Markets. They are responsible for coordinating and managing several Global Marketing initiatives, including administration, internal communications, team events, and project coordination. This is a critical role that supporting initiatives for a team of more than 100 marketing and communications professionals as well as global leaders and executives and member firms. This position requires a professional who has the ability to work in a fast paced and client-centric environment with attention to detail. They must have the ability to build relationships with multiple stakeholder groups, including c-level executives.
What you will do
Marketing project support
- Project management support in the development of marketing initiatives and communications.
- Event management support on socials and team meetings
- Maintain global marketing distribution lists for Global Digital Marketing team as well as global contacts and manage membership of applicable MS Teams groups
Process and reporting
- Attend regular meetings to capture and monitor action points arising from those meetings
- Manage invoices, expense reports and time report submission
People management support
- Support for interim and year end feedback. Overall involvement in departmental confidential issues. Manage sensitive files, including HR files, with utmost discretion and professionalism
Rapid response, quality control and special projects
- Assist with quality control of deliverables and internal communications, including proofreading
- Liaise with internal key stakeholders (ie. ITS, Procurement) and preferred onshore and offshore vendors
Administration support to the Managing Director of Global Digital as well as Managing Directors of Marketing and Communications for Global Tax & Legal and Clients and Markets
- While the majority of the coordinator’s time is to support the Managing Director of Digital, the role also provides some assistance with calendar management, timesheets, expenses, travel and administration for the leaders in Tax & Legal and Clients & Markets
What you bring to the role
- Experience in a client service, marketing environment (e.g. marketing agency or professional services firm). Minimum of 3 years in business
- A team player who is able to react positively to changing priorities
- Be able to demonstrate initiative and act as a creative problem solver
- Experience of thinking laterally to ensure all tasks are completed
- Solid attention to detail is a must
- Diploma or degree preferably in marketing, communications, project management, international studies or administration
- SharePoint, Degreed and MS Office – Word, Outlook, Excel, Teams and PowerPoint (intermediate level)
- Ability to build relationships and collaborate with key internal and external stakeholders
- Excellent interpersonal, writing, organizational and communication skills
- Capable to plan ahead and manage work to meet explicit deadlines
- Discretion is paramount given the level of access to confidential information
- A proactive, highly service oriented and client-centric attitude
- Ability to interact with senior management, exercising diplomacy and good judgement
- Proactive with a ‘can do’ attitude
- A passion for learning and training
- Flexible and able to operate in the context of different cultural and international approaches – adapt to time zone challenges
