Job description: Department Assistant, Academic Advising, Full-timeTracking Code: req1321Faculty/Department: Office of the Deputy ProvostNumber of Positions: 1Appointment Type: Full-Time ContinuingHours of Work: 35 hours per weekSalary Range: Level 5 – Starting Salary, Step 1 $51,251Posting Date: September 25, 2024Closing Date: October 2, 2024Job Summary: This position is intended to provide support to the academic advisors and the advising leadership team in the administration and operation of the advising services for students across the institution.Nature of work:
This position reports to the Director of Academic Advising and provides administrative support for the department’s activities.Responsibilities/accountabilities:

  • Screen and respond to student inquires (in person, by phone or email), refer to Academic Advisor as necessary.
  • Oversee several academic advising related email inboxes
  • Utilize student information systems such as Banner
  • Assist Academic Advisors with a range of administrative related tasks. These include (but are not limited to): BDMS filing, posting messages on the Canvas academic advising page(s) and assisting with the internship GPA review process
  • Maintain website information related to academic advising
  • Provide administrative assistance to the advising director and managers through minute-taking in meetings, scheduling of meetings and document management
  • Oversee and coordinate the attendance system within academic advising
  • Act as a point of contact for other areas of the institution for advising related matters
  • Assist in the maintenance in several social media platforms dedicated to academic advising
  • Assist in the oversight of work-study students
  • Other duties as assigned by the advising leadership team

Required Skills:The successful candidates will:

  • Be customer service oriented
  • Have excellent communication and interpersonal skills.
  • Be proficient in MS-Word, MS-Outlook, MS-Excel
  • Be willing and able to learn other computer software packages as required.
  • Be a proven team player with strong organizational skills.
  • Have very good technical (computer) skills
  • The ability to multi-task in a fast-paced environment.

Required Education:

  • Completion of a formal post-secondary/collage program of two academic years or equivalent. Experience in a student services role such as academic advising will be considered an asset.
  • An equivalent combination of education and related experience may be considered
  • Verification of Academic credentials may be required

Required Experience:

  • Over 1 year experience in an office environment. Experience in a student services role such as academic advising will be considered an asset.
  • An equivalent combination of education and related experience may be considered
