Job Description:Reporting to the Manager of Partnerships and Community, the Project Coordinator will provide tactical delivery of a high-profile community relations program focused on public engagement, education, and collaboration. To provide strategic insight to identify relationship-building and partnership opportunities to shape and achieve effective community relations programs, plans and objectives and anticipate and address the evolving needs of communities and external partners to drive change and improvement to engagement programs.Major Responsibilities:
- Implements detailed plans and recommends policies regarding program specific requirements.
- Tactical delivery of a high-profile community relations program focused on, public engagement, education, and collaboration.
- Provides strategic insight to identify relationship-building and partnership opportunities to shape and achieve effective community relations programs, plans and objectives.
- Anticipates and addresses the evolving needs of communities and external stakeholders and drives change to improve engagement programs.
- Assists in Key Performance Indicators (KPIs) and dashboards to monitor, measure and assess the impact and effectiveness of expansion/development related community relations program/strategy; continuously identifies and advances opportunities with the public to innovate, streamline, and enhance community relations practices.
- Works and collaborates with members of the Transit Expansion Division to develop cohesive and comprehensive messaging in support of the City of Toronto’s community relations priorities and programs on expansion/development initiatives.
- Coordinates program content to expand public awareness through a multitude of media including both digital and traditional media.
- Assists in issues management, including strategy, analysis, and messaging, as well as identifying and mitigating risks and concerns of City staff, Members of City Council and local stakeholders.
- Represents the City of Toronto when engaging with the public and community organizations at public meetings to present and discuss project details.
- Acts as the key point of contact for development/expansion inquiries, including TED inbox, website queries and responses.
- Liaises with City staff, Members of City Council, other governments, public agencies and partners.
- Identifies and manages emerging issues and priorities, and reacts to unplanned opportunities or crises.
- Advises of actual and anticipated problems and effectively gathers relevant background information with partners, offering consultative advice on wide-ranging issues and drafts appropriate responses.
- Establishes and maintains effective and collaborative working relationships with staff from other City divisions and external partners including Agencies, Boards and Commissions.
- Ensures that the Manager is fully briefed on matters, in a timely, accurate and comprehensive manner so that the Manager is able to provide direction, make decisions and respond to Councillor’s questions and concerns, and in the day-to-day operations for the team.
- Ensures the Manager is kept fully informed of the matters before Council, its Committees and at Standing Committee Chair briefings. Represents the Director at Standing Committee briefings.
- Drafts reports and responses for the Manager on divisional issues, projects, escalated complaints and related matters and provides guidance in the development of briefs, policy documents and other material.
- Consults, advises and communicates with senior staff in the division and corporation, Members of Council and their staff, and other key stakeholders to facilitate issues resolution. Makes recommendations to the Manager and gives direction to staff regarding the issues management process.
- Works with Strategic Communications on public and media relations, including effective communication strategies to respond to, manage and track a broad range of service area issues and critical occurrences.
- Maintains a continuous and thorough knowledge of current corporate issues and initiatives.
Key Qualifications: * Post-secondary education in a discipline pertinent to the job function (e.g. communications, marketing, public/community relations, journalism) or an approved combination of education and experience.
- Considerable experience in communications, issues management and media relations in a large public sector organization or corporation.
- Experience planning, developing and writing a broad range of materials including reports, briefing notes, strategic documents, articles.
- Considerable experience in a project management leadership role delivering projects, activities and assignments from inception through to implementation with minimal direction while balancing political, community and other stakeholder interests.
- Superior oral and written communications skills with the ability to deal effectively with the public, media, political representatives, diverse community stakeholders and staff at all levels of the organization.
- Excellent analytical and problem solving skills, oral/written communication skills.
- Ability to foster an organizational culture that emphasizes innovation, collaboration, transparency, accountability and trust while promoting a strong code of ethics and integrity to support public service excellence.
