This role involves overseeing contract management, document management, and configuration management, ensuring that all project documentation, agreements, and change control processes are efficiently managed and aligned with organizational standards.DUTIES AND RESPONSIBILITIESProject Administration & Coordination

  • Assist the Program Manager in tracking project milestones, deliverables, and schedules.
  • Prepare reports, meeting minutes, and presentations for internal and external stakeholders.
  • Coordinate cross-functional team activities, ensuring alignment with project goals.
  • Manage project-related procurement processes, vendor communication, and task assignments.
  • Maintain & update Gantt charts throughout the course of the project to assist in project schedule management.
  • Monitor service teams and external suppliers to ensure Projects are delivered to agreed milestones and invoke standard project controls where supply does not meet these milestones.
  • Maintain Risks and Issues Registers and track and manage all assigned actions. Monitor and track escalations.
  • Set up project meetings.
  • Prepare, distribute & update project reports.
  • Provide timely and accurate customer support as required.

Contract Management

  • Maintain a centralized contract repository, ensuring accessibility and compliance.
  • Track contract timelines, deliverables, obligations, and renewals.
  • Support contract negotiation and administration, ensuring adherence to legal and regulatory requirements.
  • Coordinate with legal and procurement teams to process contract modifications and amendments.

Document Management

  • Develop and maintain document control systems for all project-related records.
  • Ensure that all documentation is properly categorized, version-controlled, and accessible to authorized personnel.
  • Monitor compliance with document retention policies and industry standards.
  • Facilitate document review and approval workflows.

Configuration Management

  • Implement and maintain configuration management processes to track changes in project scope, requirements, and technical specifications.
  • Establish and manage change control procedures to document and assess modifications to project baselines.
  • Maintain configuration item records, ensuring consistency across project phases.
  • Collaborate with technical teams to oversee version control of project assets.
  • Any other duties as assigned by the Program Manager.

REQUIREMENTS

  • 3+ years of experience in project administration, contract management, or document control.
  • Experience with configuration management processes in a technical or engineering environment is a plus.
  • Familiarity with contract management software, document control systems, and project management tools (e.g., SharePoint).
  • Strong understanding of Project management principles.
  • Strong organizational skills with an ability to manage multiple priorities and deadlines.
  • Excellent communication and interpersonal skills to collaborate with stakeholders.

About this opportunityThe Aerospace & Defense Intern will interface with Engineering, Supply Chain, Sourcing, GCBU and Production for the purpose of collecting information for the Engineering team. This would entail ideas that would assist the team in cost reduction of current production aerospace product. Organizing the information and under guidance executing plans to introduce a more cost effective solution. Review of component parameters, support testing of product for verification, and creating documentation that would substantiate the choice of the new components. This role also working closely with the Global Customer Business Unit on pricing cycle and related amendments.
