- Assist the Senior Leadership Team and Project Team in the organizing and the filing system of projects, correspondence and documents
- Produce and transmit documents for projects such as general communications (letter and memos), summaries of meetings, requests for proposals, contracts, and various reports
- Manage electronic documentation (e-mails) under the conference of projects, and produce documentation according to WSP’s documents control system
- Complete quality reviews of various documents such as general communications (letter and memos), requests for proposals, contracts, specifications, and various reports
- Assist project teams with resource loading activities such as: Gathering curriculum vitae’s, utilization and forecasting, onboarding as needed, organizational charts, etc.
- Prepare CVs and create project sheets for business development
- Plan and coordinate meetings held in and out of the office, business dinners, conference-lunches, and industry events
- Organize travel arrangements for the team members: bookings of flights, hotels, and car rentals
- Assist with contract management to assist project delivery team on construction projects
- Coordinate and update tracking sheets with direction from the project team
- Support team with new hire requirements, IT equipment and general introductory documentation
- Support team with business needs related to IT requests, meeting setup, ordering supplies, accounting submissions from contractors, and internal team members
- Assist project managers with project start-up tasks
What you’ll bring to WSP:
- 5 years + relevant experience as an Administrative Assistant in a medium sized company to a relatively large company (500 employees or more)
- Functional competencies in project management in the field of engineering consulting will be considered an asset
- Extremely Proficient on computer software applications (Word, Excel, PowerPoint, Teams), SharePoint and in MS Project, Adobe Acrobat
- Good initiative, attention to detail
- Ability to work in a team environment
- Excellent verbal and written communication skills
