Job Description:
We are currently seeking a detail-oriented and organized Administrative Assistant to join our team. The ideal candidate will be responsible for providing administrative support to ensure efficient operation of the office. The Administrative Assistant will support managers and employees through a variety of tasks related to organization and communication. The candidate should be able to effectively communicate via phone and email, and have experience with a variety of office software (email tools, spreadsheets and databases). The candidate should be able to schedule meetings and appointments and manage travel arrangements for managers. The Administrative Assistant should also be able to organize and maintain paper and electronic files, manage projects, conduct research, and disseminate information by using the telephone, mail services, Web sites, and e-mail.
Key Responsibilities:
– Maintain and update filing, inventory, mailing, and database systems, either manually or using a computer
– Open, sort and distribute incoming correspondence, including faxes and email
– Prepare responses to correspondence containing routine inquiries
– Perform general office clerical work, such as filing, photocopying, and faxing
– Prepare agendas and make arrangements for meetings
– Assist in the preparation of regularly scheduled reports
– Develop and maintain a filing system
Qualifications:
– Proven experience as an administrative assistant, virtual assistant or office admin assistant
– Knowledge of office management systems and procedures
– Excellent time management skills and ability to multi-task and prioritize work
– Attention to detail and problem-solving skills
– Excellent written and verbal communication skills
– Strong organizational and planning skills
– Proficient in MS Office
– High School diploma required
