Job Description:
We are looking for a skilled Office Coordinator to undertake a variety of day-to-day office and clerical tasks. You will be an integral part in ensuring that our office operations run smoothly and are successful in supporting other business activities.
An excellent office coordinator is, above all, an organized and competent professional with phenomenal communication skills. You will be comfortable dealing with people and able to carry out administrative duties with accuracy and speed.
The goal is to ensure that office operations are efficient and add maximum value to the organization’s activities.
Responsibilities:
– Follow office workflows to support team members
– Maintain files and records so they remain updated and easily accessible
– Coordinate office activities and operations to secure efficiency and compliance to company policies
– Supervise administrative staff and divide responsibilities to ensure performance
– Manage agendas/travel arrangements/appointments etc. for the upper management
– Manage phone calls and correspondence (e-mail, letters, packages etc.)
– Support budgeting and bookkeeping procedures
– Create and update records and databases with personnel, financial and other data
– Track stocks of office supplies and place orders when necessary
– Submit timely reports and prepare presentations/proposals as assigned
Requirements:
– Proven experience as office coordinator or in a similar role
– Experience in customer service will be a plus
– In depth knowledge of office management and bookkeeping practices
– Excellent communication and interpersonal skills
– Outstanding organizational and leadership abilities
– Familiarity with office management software like MS Office (MS Excel and MS Word, specifically)
– High School diploma; additional qualifications will be a plus
Expected salary: $16.55 per hour
