Job description: We are looking for a highly organized and detail-oriented Transition Coordinator to join our team on a long-term contract basis in Toronto, Ontario. In this role, you will play a key part in managing account transitions for elite clients, ensuring their transfer requests are processed efficiently and within established timelines. This hybrid position requires 3-4 days of in-office work per week, offering an excellent opportunity to collaborate with team members and enhance client experiences.Responsibilities:

  • Coordinate and process complex account transfer requests, ensuring all assets are received within established service level agreements.
  • Monitor and manage transition mailboxes, initiating or investigating transfers promptly to meet a 24-hour turnaround time.
  • Communicate effectively with clients regarding incomplete transfer submissions and provide clear explanations for rejections.
  • Review and resubmit rejected transfers to ensure they are in good order and compliant with requirements.
  • Execute cash and securities journal entries with precision and attention to detail.
  • Collaborate with clients to resolve outstanding issues related to account transitions, providing exceptional service throughout the process.
  • Identify opportunities to streamline processes and improve client satisfaction by implementing efficiencies.
  • Generate both scheduled and ad-hoc reports for internal teams and external stakeholders as needed.
  • Conduct client meetings to discuss transfer procedures and requirements, ensuring clarity and alignment.
  • Support team operations during high-volume periods by working overtime when required.
  • Proficiency in English; bilingualism in English and French is considered an asset.
  • Strong communication skills, both written and verbal, with the ability to interact professionally with clients and team members.
  • Advanced knowledge of Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.
  • Demonstrated ability to analyze and improve processes to enhance client and team experiences.
  • Exceptional attention to detail and organizational skills to manage multiple tasks efficiently.
  • Experience with trading operations, service level agreements, and digital tools is an advantage.
  • Proven ability to work collaboratively in a team-oriented environment while also being a self-starter.
  • Flexibility to work overtime during peak periods to meet client needs.
