The Fundraising Database Assistant will work closely with the Database Manager who will direct and oversee the daily tasks for this role. They perform tasks related to gift entry, donor records entry and updates, and other associated tasks relating the ongoing maintenance of donor records in the database.
This requires broad knowledge of data systems and overall experience using technology.
The incumbent of this position has access to information of a highly confidential nature, including donor’s information, corporate financial matters and the banking system which must be held in the highest level of confidence at all times.What You Will Do
Database Gift and Donor Records Entry

  • Works in conjunction with the Database Manager and VP Development to ensure coordinated and accurate data and gift entry for The WoodGreen Foundation
  • Assists with overall database integrity and quality, including routine data improvement, data auditing, and system checks.
  • Updates and maintains donor notes, actions, solicitations, and proposals on behalf of the Foundation team.
  • Assists with the Management of all third-party charity relationships relating to the flow of gifts from the charities to The WoodGreen Foundation and subsequent reporting.
  • Identifies opportunities for improved data quality.
  • Ensures accuracy and integrity of data, including but not limited to proactive records management, generating mailing lists, coding of records and data mining.
  • Records donor and prospective donor activity in a timely manner and supports Foundation staff in their data entry.
  • Performs gift entry and donations processing, including issuing charitable receipts in accordance with Canadian Revenue Agency standards, producing gift acknowledgements, renewal letters and pledge payment reminders.
  • Assists with the import and export of data from various sources including manual entry.
  • Assist with various database cleanup projects.
  • Prepares back-up gift documentation/s.
  • Performs other duties a required.

  • Post Secondary diploma or degree in related field of study
  • Minimum two years experience in a data entry or IT related role.
  • Experience and understanding of Blackbaud’s Raiser’s Edge (NXT and Database view) preferred.
