The successful candidate will play a key role in ensuring the smooth, safe, and efficient functioning of organizational operations and finance, while contributing to a collaborative and positive workplace culture.About the OpportunityDuties include but are not limited to:
- Office Management: Coordinate office maintenance, repairs, furniture, supplies, and equipment; manage service and lease contracts; ensure compliance with Health & Safety, accessibility, and accommodation requirements; support internal meetings and events with logistical coordination
- Operational Support: Assist in the development, documentation, and implementation of organizational policies and processes; manage supplier and vendor relationships, contracts, and renewals; provide research and recommendations to support decision-making; track operational timelines and projects
- Financial Support: Process accounts payable and receivable; assist with budget tracking, reporting, and reconciliations; manage credit card transactions, deposits, licenses, and membership renewals; ensure financial documentation aligns with internal policies and audit requirements
- Information Management: Maintain accurate records, contracts, and service logs; contribute to the development of information management tools and operational procedures; support safety protocols and organizational communications
- Employee Support & Onboarding: Provide day-to-day operational support to employees; coordinate onboarding/offboarding processes, orientation materials, and facilities access
About YouThe successful candidate will have the following:Education:
- Post-secondary education in business administration, office management, accounting/finance, or a related field (or an equivalent combination of education and experience).
- Additional training or certification in operations, business processes, project management, or office administration is considered an asset
Experience:
- 3-5 years of progressive experience in office/facilities administration, operations, or finance support roles. Demonstrated experience with accounts payable/receivable, reconciliations, and bookkeeping is required.
Skills & Abilities:
- Strong bilingual communication skills (English and French, written and verbal)
- Excellent organizational and planning skills with meticulous attention to detail
- Ability to manage multiple priorities, adapt to shifting needs, and work effectively under pressure
- Strong interpersonal, negotiation, and problem-solving abilities
- High degree of discretion and professionalism in handling confidential information
Knowledge:
- Proficiency with Microsoft 365 Suite (Word, Excel, PowerPoint, Outlook, SharePoint, Teams, Planner)
- Experience with financial/accounting software (e.g., Sage, QuickBooks, or similar) is an asset
- Solid understanding of office management processes, health & safety regulations, and workplace accommodations
About the Job
- Location: Ottawa, ON (Downtown)
- Work Arrangement: Hybrid (3 days in-office, 2 days remote; based on operational needs)
- Hours: 37.5 hours per week (regular business hours; occasional evenings/weekends for events as required)
- Salary: $51,000 – $75,000

In this role, you’ll be the go-to expert for managing accounts impacted by bankruptcies and consumer proposals. You’ll work hands-on with trustees, clients, and internal teams to protect creditor rights, maximize recoveries, and ensure compliance with Canadian insolvency regulations.If you enjoy problem-solving, working independently, and making an impact in a dynamic environment, this opportunity is for you.Duties include but are not limited to:
- Managing a portfolio of lease and loan accounts affected by bankruptcies and consumer proposals
- Reviewing insolvency documents such as Notices of Stay, Proofs of Claim, and Statements of Affairs
- Preparing and filing Proofs of Claim and ensuring deadlines are met
- Monitoring proceedings to safeguard creditor rights, including follow-up with co-lessees and guarantors
- Acting as the main contact for Licensed Insolvency Trustees (LITs), customers, and internal teams
- Supporting processes such as account closures, repossessions, or settlements
- Keeping records accurate and up to date in internal systems
- Communicating effectively in both French and English, both written and spoken
- Staying ahead of updates under the Bankruptcy and Insolvency Act (BIA)
About YouThe successful candidate will have the following:
- 5+ years of experience in insolvency, collections, or financial services
- Bilingual in French and English (Preferred) – confident in both written and spoken communication
- Strong knowledge of Canadian insolvency, bankruptcy, and consumer proposal processes
- Experience with secured leases or loans is a strong advantage
- Detail-oriented and organized, with the ability to thrive under deadlines
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- A natural problem solver with excellent communication and relationship-building skills
