Flat Iron seeks an organized and proactive Marketing Communications Coordinator to manage the creation, maintenance, and quality control of all sales and marketing collateral. This role will focus on branding, proposal preparation, and supporting our real estate solutions team with top-notch, visually engaging materials that adhere to our brand standards. This position is full-time and based in our Etobicoke office.KEY RESPONSIBILITIESSales & Marketing Collateral

  • Ensure all public-facing materials (digital and print) align with Flat Iron’s brand guidelines, managing consistency across departments.
  • Maintain up-to-date marketing collateral and templates, including case studies, resumes, proposal templates, organizational charts, and presentations.
  • Design and develop visual graphics and infographics for internal and external communication using Adobe, Bluebeam, Creative Cloud, and Microsoft Office Suite.
  • Manage the collection of all project information and collateral during and upon completion of projects (i.e. case study write-up, photography, videography, reference letters, thank you gift, etc.).
  • Manage site signage as required.
  • Manage order of company swag.
  • Update and manage templates and assets used across departments.

Proposal Preparation

  • Review and summarize RFPs within 24 hours, notifying the VP of Sales & Marketing for a go/no-go decision.
  • Manage the RFP timeline, track milestones, and communicate requirements to internal stakeholders.
  • Compile, format, and ensure timely, accurate submission of all proposals, following Flat Iron’s proposal writing standards.
  • Maintain proposal databases in SharePoint, Salesforce, and Procore and update templates and assets as required.

Pre-Lease Material

  • Assist the real estate solutions team by preparing detailed reports and presentations, ensuring materials meet brand standards and are ready for client delivery.

Social Media and Website Updates

  • Post 4x per week on each social media platform using Hootsuite.
  • Update the website monthly with the most current content.
  • Report Quarterly on social and web traffic and performance.

Sales & Marketing Administration

  • Create new opportunity forms when resources are required across departments.
  • Maintain the master project tracker.
  • Prepare new project award notices.
  • Take notes in sales and marketing meetings as required.
  • Develop policies and procedures for the Sales & Marketing team.
  • Schedule internal and external meetings.
  • Follow up with potential clients on deliverables and/or information as required.
  • Support the Client feedback process.
  • Support the client journey process.
  • Support the client referral process.
  • Assist with company events such as warehouse party, home of open, and client appreciation events.
  • Manage the event calendar for industry events including securing tickets, sponsorship, etc.

Presentations

  • Create presentation materials for client and internal meetings, adhering to brand guidelines.
  • Prepare high-quality internal presentations for town halls, quarterly meetings, and other key events.

RequirementsREQUIREMENTS

  • Bachelor’s degree in Marketing, Business, English, Communications, Graphic Design, or a related field; equivalent experience is also an asset.
