JOB FUNCTION OVERVIEW

The Event Marketing Coordinator is a full-time role and an integral part of our overall Marketing & Business Development team. The primary responsibilities include planning and coordinating industry trade shows, events, seminars, and meetings. An Event Marketing Coordinator is responsible for creating a level of excitement for a company’s product or service. This role will also be responsible for working on a variety of marketing and digital marketing platforms and functions.


RESPONSIBILITIES

  • The Event Marketing Coordinator’s primary responsibilities are planning and coordinating industry trade

    shows, events, seminars, and meetings.
  • Select and review industry events of attendance in conjunction with Department Head.
  • Prepare event marketing materials and related content
  • Prepare announcements/marketing materials of company’s attendance at event.
  • Provide support in the implementation of comprehensive digital marketing strategies.
  • Manage company social media channels and involved in effective internet marketing.
  • Lead implementation and management of social & search advertising campaigns.
  • Coordinate Vendor & Collateral Management.
  • Organize and manage all types of lead generation campaigns including email marketing, webinars, and

    more.
  • Create annual budget plans for trade show activities and Return on Investment (ROI) analysis.
  • Create and update a budget report that includes the accruals and allocation of expenses for each show,

    event, seminar, and meeting.
  • Identify internal and external communications related to Company attendance.
  • Approve, coordinate, and process all equipment forecasts and orders to support our Trade Shows.
  • Travel and provide on-site support.
  • Track and analyze trade show evaluation forms to measure the success of each event.
  • Recommend new booth displays, as needed.
  • Assist the marketing team with new product launches.
  • Update and maintain all trade show calendar.

QUALIFICATIONS & REQUIREMENTS

  • Bachelor’s Degree in marketing, business or related field.
  • Two years or more experience working in events and marketing.
  • Digital marketing experience is essential.
  • Pharma event experience preferred.
  • Experience planning business events such as trade shows, webinars, workshops & seminars.
  • Ability to work independently.
  • Ability to organize marketing materials and create reports based on the success of the event.
  • Experience working with SaaS platforms is considered an asset.
  • Ability to manage multiple projects with members of the Business Development Team.
  • Incredible interpersonal skills.
  • Organized, detail-oriented, and analytical.
  • Salesforce Experience is an asset.

Our client, a boutique media agency with offices downtown requires a Hybrid Communications Coordinator to join their team. It is an entry level role that will assist in a variety of tasks to support the strategic planning and execution of digital media.

RESPONSIBILITIES:

  • Planning and Execution
  • Understanding of various tactics at a high level. The ability to track the details of the tactics; costs, audiences, KPI’s, trafficking, etc (building a keen proficiency in PowerPoint and Excel)
  • Track, send and sign insertion orders (IO’s)
  • Create Spec Sheets (DMR) for Clients and Creative Agencies
  • Assist with Campaign trafficking working with our internal ad operations team and with offline media vendors
  • Developing hands-on working knowledge of various advertising technology platforms (ie: Google, Facebook Ads Manager, Twitter, TikTok, LinkedIn, Campaign Manager, etc), including working towards certification in the required platforms
  • Learn all of the key aspects and processes to build out a digital plan
  • Reporting
  • Understand the reporting frequency for each client and LOB (Line of Business). Pull reports or look at performance in platforms based on the established cadence. Analyze and make optimization recommendations where appropriate.
  • Ensuring that campaign details are accurately input/ordered (rates, budgets, start/end dates, etc.) per plan/booking details

General

  • Establish Marcom and digital project scope

  • Align processes and solutions with the digital products roadmap and with Marcom operational plan and goals
  • Delegate and schedule tasks across the Marcom team, taking direction from the Senior Project manager
  • Anticipate roadblocks and negotiate clear and transparent project management practices that engage stakeholders to make decisions, and ensuring the team knows what to work on when
  • Ability to establish strong working relationships and a collaborative approach to setting deadlines and keeping team on track
  • Protect the team from external interruptions, separating legitimate emergencies and opportunities from unnecessary derailments
  • Help ensure an ongoing commitment to the client and stakeholders-centric perspective within the team


Project planning

  • Research, plan, and direct projects utilizing established standard project management methodology to ensure scope, schedule, budget, and quality objectives are met
  • Develop a stakeholder analysis and resource plan to identify and gain commitment for all internal and external resources required to achieve the project objectives
  • Monitor project progress, tracking action items, conducting implementation reviews, resolving issues, escalating issues to appropriate authority, and creating project documentation, including but not limited to: project charter, project plan, scope document, etc.
  • Evaluate and make recommendations on proposed business solutions based on user needs, product research and business financial analyses (cost/benefit analysis, return on investment analysis, etc.)


Qualifications:

  • 3+ years’ proven working experience as PM in marketing communications, sales, channel, or digital (not strictly IT development)
  • Experience in Agile project management is an asset
  • Experience analyzing and reporting data in order to identify issues, trends, or exceptions to drive improvement of results and find solutions
  • Ability to strategically prioritize tasks and delegate to the correct resources for successful completion
  • Ability to translate high-level Marcom ideas into defined, detailed, executable tasks, with a clear description of what the end results should be
  • Ability to communicate ideas and concepts to internal stakeholders
  • Experience with creating and adapting processes to ensure an efficient workflow within Marcom and other key departments


Software skills

Communication skills
