OverviewResponsible for non-management operational functions of the office. Tasks may include administrative oversight on assigned projects. Provides day to day operational support for the branch. How you’ll make an impact
- As an active member of the Branch, in working alongside the Branch Operations Manager, you will be accountable for broad oversight and responsibility to ensure the branch is operating in accordance with established professional standards, prepared to pass Corporate Audit and self-audits including training and appropriate document management.
- Support the ongoing implementation of BOSS Professional Standards within the branch
- Support the recruiting, hiring, onboarding, mentoring and coaching new team members. Support the local summer internship program according to corporate requirements.
- Provide overall support to the branch leader and Operations Manager for financials including the drafting of invoices, submitting of Accounts Payable, reconciling reports, assisting with annual budget, and monitoring expenses
- Responsible for Quarterly updates of the Disaster Recovery Plan
- Act as liaison between IT and the branch. Responsible for communicating servicing requests, technology software and hardware requests and issues. Triage day to day IT issues as needed.
- Partner with Assistant Manager(s) on the implementation of training as needed and ensure priority items are resourced and successful
- Ensure that Client database and CRMs are regularly audited for accuracy and maintenance, initiate plans to support the team as needed
- Accountable for the planning and organization of weekly / monthly branch meetings as well as coordinate office and staff events
- Other duties to contribute to the branch leader or Regional Operations team.
- Provide day to day administrative support including but not limited to maintaining / ordering supplies, phone & mail duties, building maintenance & support as required, file storage and vendor engagements.
- Support the teams on Adhoc reporting and basic organization of files / data.
- Strong Microsoft Excel knowledge and PowerPoint skills are essential for this role

Preventative Maintenance and Repairs
- Perform routine, preventative maintenance and repairs on Medical Gas Products i.e., Zone Valve Boxes, Alarm Panels and terminal units. Preventative maintenance should be conducted in accordance with CSA Z7396.1-17 and manufacturer’s recommendations (with regards to schedule and scope).
- Perform diagnostics on malfunctioning products, determine possible causes for malfunctions and perform repairs as suggested by diagnostics and assessment.
- Test and document the proper operating parameters prior to and following preventative maintenance and repairs. Provide walk-through evaluations and basic system assessments.
- Write up reports on service activity and recommend follow up activity that supports care of equipment that will exceed CSA standards in this area.
- Be an active member of the on-call support team (taking approx. 1 week in every 6 in rotation for after hours 24/7 support)
- Make after hours site visits for emergency support when needed (taking turns with other technicians available for this type of support)
2. Service Administrative Responsibilities
- Use Class 1’s software systems for completed customer report (Including but not limited to: detailed root cause, repairs taken, future suggestions, pictures etc.) in a timely manner
- Operate and maintain service vehicle in accordance with company policy and applicable laws and regulations
- Take control and care of all service equipment and tools to conduct service work in the safest manner for self, co-workers, customers, patients, and systems while working (always informing manager when replacement is required)
- Work with manager to support a schedule that allows for 80% utilization of technician allocation to customers
- Submit weekly timesheets to payroll and Service Coordinator
- Trank expenses in accordance with company expense policies
3. Other Duties as Required
- Ensures adherence to established Class 1 procedures, objectives, quality assurance programs, and safety standards
- Perform assigned duties in accordance with Class 1 Inc standards, while always striving to understand the needs and expectations of the customer. Take whatever action is appropriate and required to get the job done and to establish and maintain communications with all people/employees considered necessary to get the job done
LOCATION & TRAVEL
- Based remotely dispatched from home to customer sites daily
- Ability to travel to remote customer sites throughout Canada as assigned

QUALIFICATIONS
